KemRisk keeps track of all chemicals, dangerous or not, being used in the company or institute. This means that you can always see, not only the actual storage today, but also all historical amounts of chemicals. The register can be manually updated, i.e. separately from other computer systems, or automatically from your business (MPS) system or similar.
The reason of all storage changes, increase as well as decrease, is registered, and therefore consumption statistics can be done and special reports concerning all these reasons can be made.
Each company or institute have its own administrative organisation, however these three levels are always present:
# The whole organisation
# The lowest administrative unit having a responsible chief (In KemRisk called Department)
# The place to find chemicals (In KemRisk called Place)
Therefore these levels are hard-coded in KemRisk. The basic unit is the place, which shall be named according to local preferences and chosen in order to easily find the chemicals. In case of few chemicals, the place may be a whole room, but usually it is a cupboard or a shelf. In a freezer, it is convenient to register a smaller unit, e.g. a box, as a place.
All chemicals registered on a certain place are considered to belong to only one department. Consequently all reports covering a department contains all chemicals belonging to that department.
Although reports based on the administrative organisation is necessary, other principles of division must be possible. KemRisk therefore contains a tool for soft-coding of all possible kinds of division. This is primarily thought for the central administrator but, in a great organisation, it may be useful also a chief of a department.
Thus, reports covering a certain building or block, or a number of similar departments, e.g. all laboratories, can be made. Soft-coding is not restricted to the current storage, but it is also possible for historical data. Hence, safety aspects, not considered at the time of registry can be made retrospectively e.g. in order to improve occupational safety.
All tools for efficient inventory are included in KemRisk. Inventory lists are generated for output on standard printers, and all notes made on these lists are easily transformed to the register, using a graphical design similar to the notes on a paper list.
In a big organisation inventory cannot be performed simultaneously everywhere and during this time the storage changes. Therefore the exact time for the inventory is registered for each place. All transactions happening before this time are considered to belong to the former inventory period (e.g. year) and all transactions after to the new inventory period. Consequently, for the whole organisation (company or institute), the exact time for the inventory varies within a time span decided by the central administrator.
Besides information about amount and consumption, also information about batch numbers and individual packs is possible in KemRisk. This may be of value in cases where the chemicals have a limited shelf life or otherwise where keeping track each item is desirable, e.g. in accredited laboratories.
